IMPORTANT UPDATE FOR VISITORS TO OUR OFFICES

WITH REGARD TO COVID-19

 

Following the recent announcements by the Government on 23 September 2020 we are following the most up to date guidance available and we are asking our clients and all other visitors to follow the protocols which we have now had to put in place.

Those people who have visited our offices since the easing of the national lockdown will be aware of the measures which we have already put in place to ensure the safety of all concerned. Now we find ourselves having to extend those existing measures to comply with new laws and guidance. We have set out below the protocols which will need to be followed with effect from 24 September in order that we can operate safely and securely for the benefit of everyone:

  1. Whilst we have previously agreed a limited number of appointments with clients to visit our offices, we now feel that the number of appointments must be reduced once more to an absolute minimum. Wherever possible, meetings should be arranged using other media such as Microsoft Teams or Zoom.
  2. If documents require a physical signature, then these will be sent out to a designated address by Royal Mail or electronically. For the duration of the pandemic, electronic signatures or approvals on IRIS Openspace will be acceptable.
  3. We have put in place a register of visitors to the office but have now supplemented this with the NHS QR Code Reader which means that you can “check in” electronically should it be absolutely necessary for you to visit our building. You should either show the valid check in at reception or you must give your name and contact details which will be kept for 21 days as part of NHS Track & Trace.
  4. If you do need to come into the office, you will be required now to wear a mask or suitable face covering. You should not remove this until you have left the premises except in very specific circumstances. Our staff will also be required to wear a mask when meeting with you. If you have forgotten a mask then one will be handed to you at reception.
  5. For your own safety within our building, surfaces will be cleaned after any meeting and regularly otherwise.
  6. Where Walker Thompson staff would make visits to clients premises, we shall need certain assurances from you that a risk assessment has been undertaken and that all normal expectations with regard to social distancing, hand washing facilities or hand sanitizer are readily available and that you are able to provide an assurance that no-one connected with the business has tested positive for Covid -19 within the previous 7 days or has self-isolated during that period. It may be possible to work together, including the wearing of face masks by staff, in order to ensure a safe working environment can be provided OR a short-term alternative solution might be possible.
